What is stored

When applications are open, membership enquiries store your name, email, optional phone number, date of birth, membership category, linked member number where applicable, city, Porsche information, message and consent timestamp in the club database. Member profiles, vehicles and event registrations are visible to the member and authorised board users. Board actions are recorded in an audit log.

Young people and family records

A parent or legal guardian submits a young person’s details from their private member account. The record includes the young person’s name, date of birth, family relationship, the guardian’s declaration, youth assent where required, consent version and date, and the board’s verification reference. These records are visible only to the submitting guardian and authorised board users. They do not appear in the member directory and do not create a separate child login. Membership consent does not authorise photographs, marketing or sharing data with DrivR.

Membership contributions

The contribution ledger stores membership periods, amounts due, payment references, confirmed receipts, transfer reports and correction history. Members see their own records and anonymous club totals; authorised board users can review individual records. A reported bank transfer is not treated as paid until it is verified. Payment corrections remain visible in the history.

When online payments are enabled, card payments take place on Stripe’s hosted checkout. PCCDS sends the contribution amount and payment reference. You enter payment and contact details directly with Stripe; PCCDS stores the resulting transaction references and status. PCCDS does not collect or store card numbers. Payment access remains unavailable until the club has configured its payment account.

Your community profile

The member directory is optional and available to verified active adult members. If you choose to participate, other eligible members can see your name, city, short biography, interests and selected spoken languages. Sharing garage models, years and colours requires a separate choice, which also covers future garage additions. You can leave the directory or hide your garage at any time. Stored email addresses, phone numbers, member numbers, dates of birth and children’s records are not included in directory responses.

Participation and club reports

Member proposals are visible to their author and the board. Advisory poll votes are linked to an account in the database to prevent duplicate votes; published results contain aggregate counts. This is not a secret-ballot election system. Published financial reports contain club-level figures and project summaries. Supporting financial evidence and individual contribution records remain restricted.

Account security and email

Authenticator secrets and queued email contents are encrypted. Recovery codes and password-reset tokens are stored as hashes, and unused reset links expire. Security actions, session revocations and recorded board handovers are audited. When the club email service is connected, invitations, password-recovery messages and enabled contribution notifications use your saved email and language. Delivery status is recorded; private recovery links are not exposed in the board communication log.

You can add and verify a private recovery email in Account security. This address is encrypted and is not included in the member directory or board profiles. It is used for verification codes, password-reset links and account-security notices. You can replace or remove it at any time; doing so invalidates outstanding reset links. Club mailbox recovery requires a verified address outside the club domain.

Optional club news and event emails follow your communication preferences. Essential membership and governance notices use your membership address. Mail Studio records the selected audience and delivery history; it does not track email opens. Board members can access the shared info mailbox using their own authorised accounts.

Verified event links open DrivR as a separate service, where its own sign-in and privacy terms apply. Opening a link does not provision an account, transfer your club profile or synchronise registrations. Existing local preview reservations are retained as historical records.

Cookies and third parties

The platform uses a necessary session cookie when you sign in and stores your language choice in your browser. Fonts and images are served locally. There are no advertising cookies or embedded social feeds. Social links open the respective external service.

Optional Google Analytics, loaded through Google Tag Manager, is enabled only after you allow analytics. It helps us understand visits to public pages. Analytics is not used on membership application forms or in the private member and board areas. We remember your analytics choice for six months. You can reject analytics or withdraw your permission at any time using Cookie settings in the footer. Google privacy policy.

Before the public launch

The club’s legal entity, privacy contact, retention periods, rights request procedure and final membership terms must be added before real member data is collected publicly. During this preview, use test details only.
